1) Purpose and scope

This page explains how DPACC.AI approaches the design, deployment, and operation of AI-enabled services for government and government-adjacent clients (including national/federal, state/provincial, local government, statutory authorities, and publicly funded organisations).

Our goal is to help clients deploy AI in a way that is transparent, accountable, contestable, and safe, while supporting client obligations under applicable privacy, security, and procurement requirements in the client’s jurisdiction.

2) What we mean by “AI”

“AI” on our website includes tools and workflows that may:

  • Summarise or draft content.
  • Answer questions conversationally.
  • Classify or route enquiries.
  • Assist with lead qualification and appointment scheduling.
  • Automate parts of customer service and reporting.

Important

AI output can be incorrect or incomplete. AI is used to assist, not to replace accountability.

3) Human oversight and accountability

For government deployments, DPACC.AI supports a model where:

  • Humans remain responsible for outcomes that materially affect individuals, organisations, funding, access, eligibility, compliance actions, or other consequential decisions.
  • AI is used as an assistive capability, not as the final authority for high-impact outcomes unless explicitly agreed, risk assessed, and governed by the client.
  • We support escalation to a human when requested or when risk thresholds are met.

4) Contestability and human review

If an AI interaction, recommendation, classification, or outcome appears incorrect or unfair, a person must be able to challenge it and request review.

How to request human review:

Response time targets

  • We will acknowledge the request within 2 business days.
  • We will work with the client to complete a human review and confirm the reviewed outcome within 14 business days (or an agreed timeframe based on impact and urgency).

5) Transparency and user notice

Where AI is used in customer-facing experiences (voice, chat, SMS, email), we support:

  • Clear notice that the user is interacting with an AI-enabled service.
  • Clear instructions for requesting a human.
  • Plain-language explanations of what the system can and can’t do.

6) Acceptable use and “no-go” data

For government deployments, DPACC.AI does not require (and does not request) users to input protected, classified, or highly sensitive information into AI interfaces.

Do not provide through AI chat/voice/SMS/email

  • Classified / protected government information.
  • Highly sensitive personal information.
  • Credentials (passwords, MFA codes).
  • Payment card details.
  • Health records or similarly sensitive categories unless explicitly designed, approved, and governed for that purpose.

If sensitive information is submitted inadvertently, we support client-approved handling procedures (containment, minimisation, and deletion pathways where feasible).

7) Risk-based assurance approach

DPACC.AI applies a risk-based assurance approach. That means controls and assurance effort scale with:

  • The impact of the use case.
  • The sensitivity of data involved.
  • The level of automation.
  • The likelihood and severity of harm if the system is wrong.

For government and high-impact use cases, we can support assurance activities such as:

  • Use-case definition (purpose, limits, exclusions, intended users).
  • Risk assessment (harms, bias/fairness considerations, failure modes).
  • Testing (quality, safety, and regression checks prior to go-live).
  • Monitoring (issues, drift, escalations, complaint patterns).
  • Change control (material changes reviewed before release).
  • Documentation suitable for procurement and governance.

Where relevant, we can align assurance artefacts to applicable government AI assurance frameworks and agency/state guidance as required by the client.

8) Governance and accountability controls

Depending on the deployment, we support controls such as:

  • Defined system owner and escalation contacts.
  • Access control to admin functions.
  • Audit logging where available/required.
  • Documented operating procedures and staff guidance.
  • Training and acceptable-use rules for client users.
  • Incident and issue management processes.

9) Privacy and personal information handling

DPACC.AI supports government clients to meet obligations under applicable privacy requirements, which may include (depending on jurisdiction and client):

  • National/federal privacy legislation and information privacy principles.
  • State/provincial privacy legislation and information privacy principles.
  • Sector-specific privacy rules (including health or regulated sectors where applicable).
  • Contractual privacy clauses and procurement policies.

For deployments involving personal information, we can support:

  • Privacy impact assessments (PIA/DPIA) where required by the client.
  • Data minimisation (collect only what’s needed).
  • Purpose limitation (use only for agreed purposes).
  • Access and role controls.
  • Retention and deletion rules aligned to client needs and law.

Data sharing and third parties

Where subcontractors/third-party platforms are involved (e.g., telephony, messaging, analytics, AI providers), we aim to maintain a clear processor/subprocessor understanding and can provide a summary suitable for procurement on request.

10) Security approach

For government deployments, we support security practices proportionate to risk, which may include:

  • Security threat and risk assessment appropriate to the solution and environment.
  • Identity and access management controls.
  • Logging and monitoring appropriate to the platform.
  • Secure configuration and change management.
  • Incident response and notification processes.
  • Vendor/subprocessor risk review (where applicable).

11) Data location and residency

Data location requirements vary by client and jurisdiction. Where a client requires specific hosting regions or residency controls, DPACC.AI will work with the client to:

  • Identify which systems store/process data.
  • Confirm available hosting/region options.
  • Document the agreed data-flow and controls.

12) Records, audit and evidence (procurement support)

Government procurement often requires evidence beyond public website text. On request (and subject to client configuration), DPACC.AI can provide procurement-friendly summaries such as:

  • System description and scope.
  • Data-flow overview.
  • Assurance/risk summary.
  • Privacy controls summary.
  • Security controls summary.
  • Subcontractor/subprocessor summary.
